Lottery System, Deposit, and Cancellation Policy Details

To make adventure recreation trips more accessible to all students, a lottery system for trip registration will be implemented starting in the spring semester of 2025.

How will this work? An event will be created on UPace, and students will "reserve" a spot on the trip through the platform. This reservation will serve as an entry into the trip lottery. There will be no limit on the number of entries accepted for the trip lottery.

Entries for the lottery will be accepted for 24 hours, starting at midnight on the designated lottery day and closing at midnight the following day. If more students register than there are available slots for the trip, participants will be chosen through a random selection process—the lottery. Students who secure a spot through the lottery will be notified by 5:00 PM the day after the lottery. Any students not selected will automatically be added to a waitlist, with priority on the waitlist also determined randomly.

Additionally, the waitlist will double as a standby list. Any students on the waitlist/standby list are eligible to attend the trip if another student confirmed for the trip doesn’t check-in by the final departure time listed. Standby priority will be follow the same order as the waitlist.

Trip Deposit and FSC Pre-Trip Information Sheet

To fully secure your spot on our trip, you must pay a trip deposit of $20 in cash and complete the Florida Southern College pre-trip information sheet. This can only be done in person at the Hollis Wellness Center. This must be completed prior to the Hollis Wellness Center closing on the established due date.

Cancellation Policy

Students who register for a trip but are unable to attend should notify Florida Southern College’s Adventure Recreation Coordinator at the Hollis Wellness Center as soon as possible. This notification should be sent in writing via email. Early notification of cancelation allows our staff to identify alternate students who can attend in your place.

Cancellation requests made seven (7) days prior to the event are eligible for a full refund of any deposits made. However, refunds will only be considered for cancellation requests made within seven (7) days of the trip for medical reasons or family emergencies that prevent attendance. If Florida Southern College decides to cancel a trip, all deposits made will be fully refunded. No-shows will forfeit their deposits.

Due to the nature of Adventure Recreation, it may become necessary to postpone or cancel a trip in advance due to inclement weather. For postponed trips, students will have the option to cancel their registration and receive a full refund. If Florida Southern College cancels a trip, all deposits made will be fully refunded.
